Where’s the best place to find overall information about PCST2023?

The conference website has details of registration, programme, hotels, and Rotterdam visitor attractions. This will be regularly updated and added to pcst2023.nl. If you require any further specific information, please email pcst2023@erasmusmc.nl.

Support to attend the conference

Where can I find information about support for delegates from low-income countries?

If you have an accepted proposal for PCST2023 and you are from a low-income country, then you are eligible to apply for Rotterdam Fellow funding. The deadline for applying for this support is 14 January 2023.

What other support is available?

There is a Diversity and Inclusion Fellowship fund offering two types of bursaries, including for students. Applications close 13 January 2023.

Can I provide support for others to attend the conference?

Yes, you can provide support when you register or you can contact Anne Dijkstra via conference@pcst.network

Registration

How do I register for this conference?

Register online via the conference website registration page. Remember early-bird discounts end 7 February 2023.

The cost of registration is significantly cheaper for PCST members. Join or renew your membership.

Am I eligible for a discounted registration rate?

People who are financial members of PCST at the time of the conference are eligible for a discount on registration fees.

You may be financial now, but if your membership expires before the date of the conference you need to renew it.

To check your membership status, please log in, then select My Membership (menu on the left) and then click on Manage to view your status.

Should you need a copy of your invoice, please log in, then select Orders (menu on the left) and then click on the blue Print Invoice button. Please note, this is for payments made on our new payment gateway launched on 23 May 2022. For payments made prior to that date, please email treasurer@pcst.network to request an invoice.

As a speaker, when do I have to register for the conference?

All speakers must register by 31 January 2023 to be included in the programme. If you have not registered by then, your proposal will not be included in the programme.

Use your personal ID code when you register: PCST2023-IDXXX.

Registration by 31 January 2023 applies to all speakers, including all the speakers in a Roundtable Discussion or a Linked Paper session, as well as any other kind of presentations, demonstration or visual paper during the conference or pre-conference day. Co-authors (non-speaking) only need to register if they want to attend the conference, and they can do this at any time.

How do I check if I am a financial member of PCST?

To check your membership status, please log in, then select My Membership (menu on the left) and then click on Manage to view your status.

What does the conference registration fee for PCST2023 include?

Registration allows access to all sessions of the conference, including the pre-conference workshops on 11 April 2023. This includes light refreshments for the pre-conference workshops (but not lunch), the welcome event, and all catering and social sessions during the conference (12-14 April 2023). The conference dinner is at an extra cost (€75) and there are limited spaces available.

Registration also gives access to pre-conference online sessions, open only to PCST members and conference delegates.

Can I make changes to my registration application?

After submitting your registration you can still use your login name to enter the registration application. However you can only get an overview of your registration form. You cannot make any changes. If you wish to make any changes, please contact the Congress Office at pcst2023@erasmusmc.nl

What happens when you register? When will I receive a receipt for payment?

You will receive a confirmation email, and the receipt or invoice for payment will be emailed within two weeks.

Your proposal

May I submit a new proposal?

No. Calls for proposals have closed.

What is the deadline for making minor changes to accepted proposals?

Authors can make minor changes until Friday, 31 January 2023 by using the special link provided in the acceptance email you received.

For proposals with multiple speakers, you will also be able to update or change speakers, should one or more of your current speakers no longer be able to attend. Please remember, however, that any person may only speak twice at the conference, so please don’t invite people who already have two speaking roles.

NB: Every speaker needs to have a unique PCST ID number. If you want to add a new speaker (i.e. a person who does not have this number), please email vene@studiovene.co.za to request a number. Also, remember that speakers must add this PCST ID number when they register for the conference.

How do I withdraw a proposal?

If your proposal has been accepted, but you are no longer able to participate, please contact marinajoubert@sun.ac.za

How many proposals may I present at PSCT2023?

Delegates can only speak twice during the conference (except for visual presentations, performances, or plenary talks). This does not include speaking at pre-conference workshops or any role chairing a session.

If you have been accepted to speak more than twice, you will be asked to choose your top two proposals and withdraw from the others. Please email marinajoubert@sun.ac.za if you have more than two speaking roles.

Do I need to provide a full paper of my PCST2023 presentation? If so, when?

No, this is optional. Your proposal abstract will be included in the PCST repository. Further details about this will be available soon.

Why am I not receiving emails about my proposal?

Emails are sometimes wrongly identified as spam or junk. Before you contact the Chair, check your spam or junk folders.

Email marinajoubert@sun.ac.za if you have any questions about the status (acceptance or otherwise) of your proposals, or if you need the online link to update your proposal(s).

Programme

We will publish the first full draft programme by early March 2023.

What do I need to know about preparing my presentation (including visual presentations)?

Further instructions on how to prepare presentations will be sent to accepted and registered speakers by early March 2023.

When will I find out on which day I will be speaking?

When the full draft programme is published in early March 2023. You must be prepared and willing to speak during any session of the conference.

Can I ask to speak on a specific day / session during the conference?

No. Organising the programme is very complicated and we can’t cater for people who are only available at certain times.

Participation in the conference

Will there be any online sessions of the conference?

Prior to the conference (3-5 April 2023) we will run online conference sessions with speakers of accepted online proposals. These online sessions will be available to all financial PCST members and registered conference delegates.

There will be no hybrid sessions.

Plenary sessions during the conference will be recorded and made publicly available through the PCST YouTube channel after the conference.

Will you record sessions and make them available for delegates to view in their own time?

The pre-conference online sessions of accepted online proposals will be recorded and made available publicly through the PCST YouTube channel after April 2023.

What opportunities will there be for networking?

There will be a welcome session for delegates new to PCST on the morning of Tuesday, 11 April 2023.

During the conference there will be many opportunities for formal and informal interactions.

Delegates are encouraged to look at Visual Presentations during breaks, and to interact with authors.

Where can I get a Certificate of Attendance?

You can request a Certificate of Attendance by emailing the following address pcst-loc-sec@tudelft.nl with the request in the subject line. In the body of the email please provide: your title, name and surname, your job title, organisation and country. The certificate will be sent via email to you as a PDF. It will state that you participated in the PCST2023 conference in Rotterdam and will include your title, name and surname, your job title, organisation and country.

Post conference

Will there be proceedings available after the conference?

All abstracts will be collated and made available through the PCST Repository.

We will not be collecting or publishing full papers but encourage presenters to submit these to relevant journals.

Visa applications

Do I need a Visa to travel to Rotterdam?

Visas are required for some nationalities to travel to the Netherlands. Please contact your travel agent and / or the Netherlands Consulate / Embassy in your country for exact details and visa application procedures as soon as possible. Visa processing times can vary.

How do I get a Visa invitation letter?

Visa invitation letters can be issued by the Local Organising Committee (LOC) upon registration and payment of the conference fee. Please contact the LOC via PCST-LOC-SEC@tudelft.nl
